Your account
Deleting your MindLotus account
You can delete your MindLotus account yourself, at any time, in the app or on the website. This page explains how, what is deleted straight away and what the law requires us to keep.
1How to delete your account
Sign in with the account you want to delete, then go to:
- In the MindLotus app: Profile › Delete account. Organisation administrators: More › Delete account.
- On the website: sign in at app.mindlotus.nl and go to Settings › Account › Delete account.
Before anything is deleted, you see what will be deleted and what will be kept, with the dates that apply to you. To confirm it is you, we e-mail you a 6-digit code (not needed if you signed in with your password a few minutes ago), and you type a confirmation word. Your account is then deleted straight away and you are signed out on every device.
When the deletion is complete, we send a confirmation to your e-mail address.
2What is deleted straight away
As soon as you confirm, we delete:
- your profile, your contact details and your profile photo;
- your check-ins, mood and journal entries and your own goals;
- your messages, except those with your psychologist, which are part of your clinical file (see below);
- your notifications, devices, preferences and settings;
- your place in an employer's programme: your employer sees that you are no longer a member, not why.
Upcoming sessions are cancelled without a cancellation fee, and your psychologist is told. Sessions paid for by your employer go back to your employer. If you have unused session credits that you paid for yourself, the deletion screen tells you what happens to them before you confirm.
3What we keep, and for how long
Some records must be kept by law, even after you delete your account. We keep them locked: they are no longer linked to an account anyone can sign in to, they no longer appear anywhere in MindLotus, and they are deleted when the legal period ends.
- Your clinical file: session records, your psychologist's notes, intake and questionnaire answers, therapy plans and your messages with your psychologist. Dutch healthcare law (the WGBO) requires this file to be kept for a set number of years after your treatment. Only your psychologist and MindLotus administrators can open it, and every opening is logged.
- Payments and invoices: for as long as Dutch tax law requires.
- A record that your account was deleted: dates and reference codes only, without your name or contact details.
The deletion screen shows the exact dates that apply to you. The retention periods are also listed in our privacy policy, which also explains how long copies remain in our backups.
You can ask for your clinical file to be destroyed before the period ends. Your psychologist decides on such a request, as the law requires. Contact us at privacy@mindlotus.nl.
4Psychologist accounts
Psychologist accounts are closed by our team, because your clients' care and files have to continue. Send a request in the app under More › Close account, or on the website under Settings › Account › Request account closure.
An administrator contacts you within 5 working days to arrange your active clients, upcoming sessions and final payout, and then closes the account. You can withdraw the request until it has been processed. Your clients' clinical files stay available as Dutch law requires, and your name and BIG number stay on the records you wrote.
5If you can no longer sign in
If you can no longer sign in, e-mail privacy@mindlotus.nl from the e-mail address of your account and ask us to delete it. We check that the request comes from you and then delete the account for you. We reply within one month.
Want a copy of your data first? Ask us at the same address before your account is deleted.
